Modern hotel suite with a city view — hotel booking system module

Features

What the hotels module does

Bed bank integration

Connect Hotelbeds and WebBeds, as well as Agoda, with your own credentials and show live room availability on your site.

Direct hotel contracts

Load the hotels you have negotiated yourself and sell them in the same results as bed-bank stock.

Room-level markups

Set your margin down to the room, so a sea-view suite and a standard double can each carry the markup that suits them.

Cancellation policies shown first

Every rate shows its cancellation terms before booking, so travellers and agents know what they are buying.

Instant vouchers

Confirmed bookings generate a hotel voucher straight away, ready to download from the traveller account.

Agent pricing

On Agency and Enterprise plans, sub-agents book hotels at their own rates and issue vouchers under their own brand.

How it works

From first search to a confirmed booking

  1. 01

    Search

Choose a destination, dates and rooms; the panel checks connected bed banks and your own contracted hotels.

  2. 02

    Compare rooms

Results show room types, board basis, your marked-up price and the cancellation policy for each rate.

  3. 03

    Book and pay

The traveller pays by card or bank transfer, or a sub-agent books against their wallet balance.

  4. 04

    Voucher issued

The booking is confirmed with the supplier and the voucher is issued instantly to the traveller or agent.

What hotel booking software does

A hotel booking engine turns supplier room inventory into something a customer can search, compare and pay for. It checks availability across your sources, applies your margin, records the cancellation terms of the chosen rate and confirms the booking with the supplier. The traveller gets a voucher; your team gets a booking record in the back office.

In TravelBookingPanel the hotel module is included from the Starter plan, works on your customer booking website and, on Agency and Enterprise plans, inside the B2B agent portal.

Bed bank integration explained

A bed bank is a hotel wholesaler. Instead of signing a contract with every property, an agency signs one agreement with the bed bank and reaches a wide range of hotels through its API, usually at net rates that you then mark up. For hotel content the panel can connect Hotelbeds, WebBeds and Agoda. As with every supplier, the contract and API credentials are in your agency’s name and any supplier fees are paid to the provider.

Before a hotel supplier switches on live bookings, there is usually some groundwork on your side. Suppliers typically issue test credentials first, review the integration before granting live access, and agree payment terms with you — prepayment, a deposit or credit, depending on your trading history. Starting those conversations early means the panel can be configured as soon as your credentials arrive.

Rates from bed banks come with their own conditions: some are refundable until a set date, some are non-refundable, and board basis varies from room only to full board. The panel carries those conditions through to the booking screen and the voucher so nothing is lost along the way.

Mixing bed banks with your own contracts

Many agencies hold direct contracts with hotels they sell often, especially in their strongest destinations. You can load those contracted hotels into the panel and they appear in the same search as bed-bank stock. Travellers see one list; you decide which rooms earn the best margin. If your own allocation is full on a given night, travellers can still choose from bed-bank rooms in the same results. This is particularly useful for Umrah operators who contract hotels near the Haram for the season.

Room-level markups and agent pricing

Margins in hotels are rarely one-size-fits-all. The panel lets you set markups at room level, and markup or commission rules per agent, product or route. A sub-agent on the Agency plan sees their own price, pays from a prepaid wallet with top-up requests and statements, and can hand their client a voucher carrying the sub-agent’s own branding.

Cancellation policies and vouchers

  • The cancellation policy for each rate is shown before the traveller pays.
  • The same terms are stored on the booking, so your team can see the deadline when a change request arrives.
  • Vouchers are generated as soon as the supplier confirms, and stay available in the traveller account.

Choosing hotel booking software you own

Most hosted booking tools charge a monthly fee for as long as you use them. TravelBookingPanel is a one-time licence with the full source code, installed on your own domain and server, with no commission on bookings. Hosting and supplier fees stay separate. FAQ

Hotel booking system: common questions

What is a bed bank?

A bed bank is a hotel wholesaler that gives travel agencies access to many hotels through one contract and one API, usually at net rates the agency marks up.

Which hotel suppliers can I connect?

Hotelbeds, WebBeds and Agoda, using contracts and API credentials in your own agency’s name. You can also add hotels you have contracted directly.

Can I sell my own contracted hotels?

Yes. Hotels you contract directly appear in the same search results as bed-bank inventory, with the markups you choose.

How are cancellation policies handled?

Each rate carries its own cancellation terms from the supplier. They are shown before payment, saved on the booking and printed on the voucher.

Is the hotel module in every plan?

Yes. Hotels are included from the Starter plan at $1,599 as a one-time licence. The B2B agent portal for selling hotels through sub-agents comes with Agency and Enterprise.
